Cost limit — the amount that project service expenses must not exceed. The limit is set in the client's account currency and helps control the budget of a department or a specific area without creating a separate account.
Setting the cost limit
The cost limit parameters are configured when creating or editing the project. The configuration in the employee interface and in the client area is identical:
- Go to the Project Management → Projects.
- Select the required project from the list.
- Click the Change button.
- In the Cost Limit block, specify the maximum expense amount.
- Click Ok to save the changes.
Calculation of available funds
Available project funds are the amount that the client can spend on ordering, renewing, or changing a service tariff within the project. The amount is calculated as the lesser of two values: the project cost limit balance and the client's actual account balance.
As long as the client account is active, the platform uses this calculation for all operations within the project. If the account is blocked, available funds are zero regardless of the limit balance.
Blocking operations when the limit is exceeded
When the project's available funds are exhausted or insufficient for an operation, the platform blocks:
- ordering new services within the project;
- renewing existing project services;
- changing a service tariff with an additional payment.
Changing to a cheaper tariff with a refund and early service termination are not blocked, as these operations reduce project costs.
Viewing the cost limit change history
All changes to the cost limit parameters are recorded in the project history. The client can view the history of projects they are added to. The platform administrator can view the history of all projects.
To view the change history, go to the Project Management → Projects section, select a project, and click the History button.
The page that opens displays a table with the history of all project parameter changes, including:
- date and time;
- action description;
- employee who made the changes;
- system operation name.
