Project management under administrator account

After installing the Projects module and enabling project work for providers in the employee interface, the Project Management section appears. In this section, the platform administrator works with the list of all clients' projects, configures cost limits, manages services and participants of projects.

The option to create projects is available only to the client administrator in the client area. The employee can only view and edit existing projects.

List of projects for all clients

To view the list of projects for all platform clients, go to the Project Management → Projects section.

The list includes the following columns:

  • ID — project identifier;
  • Name — project name set by the client administrator;
  • Client — project owner;
  • Provider — provider under which the project was created.

The administrator can:

  • Change the project name and cost limit;
  • view which Services are included in the project, and enable or disable their display;
  • view which Users can order project services;
  • view the project change History;
  • filter projects By Client. To do this, in the list filter, select the project with the desired client from the drop-down list.

A user with the Accounting role has specific access to projects. They can:

  • exit the project context (mode Project not selected) to work with general payments and payers;
  • switch between projects to view financial information for each of them, without having access to the service list.

Project card

The project card contains:

  • basic information about the project;
  • cost limit settings;
  • lists of services and users;
  • history of limit changes.

Basic information

The basic information block displays:

  • project name;
  • client — project owner;
  • provider under which the project was created.

An employee can change the project name. The client and provider cannot be changed.

Cost limit

The cost limit is the amount that project service expenses must not exceed. The limit is set in the client's account currency and takes effect from the specified date. If no date is specified, the limit takes effect from the current date.

In the project card, an employee can configure the following limit parameters:

  • Limit Amount — the maximum amount of project service expenses;
  • Limit Start Date — the date from which project expenses are calculated;
  • Alert Threshold — the percentage of the limit at which exceeding it triggers a notification to the client administrator.

When the limit is exceeded, the platform blocks ordering new services, renewals, and tariff changes with additional payment. A background task compares project expenses with the specified threshold daily and sends notifications to the client administrator.

Learn more about the cost limit mechanism in the Cost limit and expense control article.

Project services

In the Services subsection, a list of services included in the project is displayed. If the client has services that do not belong to any project, they are also displayed in this list. An employee can add a service to the project that was not previously linked to it (for example, during migration of existing services), or remove a service from the project.

A service can belong to no more than one project. Removing a service from a project does not affect the service itself: only its link to the project is broken. A project can be deleted only when all services are unlinked from it.

Project users

In the Users subsection, a list of client users included in the project and users who are not part of the project is displayed. An employee can add a user to the project or remove a user from the project.

A client user with the Full Access flag is automatically considered a participant in all client projects. They cannot be removed from a project — such a user has access to view and change all client services regardless of projects.

Limit change history

In the History subsection, changes to the project cost limit are displayed: who, when, and which limit parameters were changed. The history helps track when and by whom the limit amount, start date, or alert threshold were changed.

Project column in service lists

After enabling project management in all platform service lists, a Project column appears. This column displays the project name to which the service belongs.

If a service does not belong to any project, the column displays the value "Project not selected".

The Project column can be used to filter the service list. The service list filter allows selecting a project — after selection, only services belonging to the selected project are displayed.
